Enrollment is granted for one academic year and must be renewed annually through the admissions and enrollment process established by the Academy. Enrollment is not considered complete until all required forms and supporting documentation have been received and approved by Kilgore Academy. Students may not begin attending classes until all required enrollment documents have been completed unless otherwise authorized by the Executive Director. If you have questions regarding any portion of this packet, please contact the Academy before submitting your enrollment documents.Tuition & Financial AgreementThis Tuition & Financial Agreement outlines the financial responsibilities of families enrolling students at Kilgore Academy. By signing below, the parent(s)/guardian(s) acknowledge that they have read, understand, and agree to the following terms. Tuition for the 2026–2027 school year is established annually by the Board of Directors. Current Tuition: $4,900.00 per student ($3,430.00 if you attend host church) Registration/Application Fee: $50.00 Other Annual Fees (if applicable): Student book fees will be the responsibility of the parent. Books may be purchased from the vendor of your choice. Tuition is due the 5th of each month. Families are responsible for ensuring payments are made on or before the due date. If a payment is not received by the due date, the Academy may assess a late fee of: $15.00. Continued delinquency may result in suspension of enrollment privileges or other action consistent with school policy. Families experiencing financial hardship are encouraged to contact the Administration promptly to discuss possible arrangements before payments become overdue. A fee of $15.00 may be assessed for returned checks or declined electronic payments.WithdrawalIf a student withdraws from Kilgore Academy, parents agree to notify the Administration in writing. Financial responsibility following withdrawal will be determined in accordance with the Academy’s Tuition Policy. If a student withdraws mid-year, tuition payment is prorated to the next full or half month. The Academy reserves the right to withhold future enrollment until outstanding financial obligations have been satisfied, to the extent permitted by applicable law and school policy.Scholarships and Financial AssistanceScholarships are awarded based upon available funding and Board-approved scholarship policies. We understand that enrollment at Kilgore Academy requires cooperation with the policies adopted by the Board of Directors.Supervision of Students During Off-Campus ActivitiesKilgore Academy’s responsibility for supervising a student during a school-sponsored off-campus activity begins only after: The student has arrived at the designated activity location; The student has been personally checked in with the supervising Academy employee or designated school representative; and The parent, legal guardian, or the individual designated by the parent or legal guardian has transferred responsibility for the student to the supervising Academy employee or designated school representative. The Academy’s responsibility for supervision ends when the student has been released by the supervising Academy employee or designated school representative to the student’s parent, legal guardian, or another individual designated by the parent or legal guardian. Parents and legal guardians remain solely responsible for all transportation to and from school-sponsored activities. The Academy does not supervise students during transportation and assumes no responsibility or liability for transportation arrangements made by parents, legal guardians, or other individuals.Facility Use Acknowledgement, Release of Liability, Indemnification AgreementAcknowledgementKilgore Academy, Inc. (“Academy”) conducts its educational programs within facilities owned or operated by Calvary Christian Center, hereinafter, (the “Church”). By enrolling our child at Kilgore Academy, we acknowledge that our child will participate in educational activities conducted on property owned, leased, or controlled by the Church. We understand that the Church is permitting Kilgore Academy to use its facilities and that the Academy remains responsible for the operation of its educational program. I understand that Kilgore Academy, Inc. is an independent nonprofit corporation and is solely responsible for its educational programs, personnel, and operations. The host church is providing facility space and is not responsible for the administration or operation of the Academy.Relationship between the Academy and the Host ChurchKilgore Academy, Inc. is an independent Oklahoma nonprofit corporation organized and operated separately from the host church. Although the Academy conducts its educational programs within facilities provided by the host church, the Academy is solely responsible for its educational programs, admissions, personnel, curriculum, policies, and daily operations. The host church’s role is limited to providing facilities for the Academy’s use pursuant to a separate facility use agreement. The use of church facilities by Kilgore Academy does not create a partnership, joint venture, or agency relationship between the Academy and the host church.Assumption of RiskWe acknowledge that participation in school activities involves ordinary and inherent risks that cannot be completely eliminated. These activities may include, but are not limited to: Classroom instruction Chapel services Physical education Indoor and outdoor recreation School programs Educational activities Arrival and dismissal procedures Field trips and other school-sponsored activities (when separately authorized) We voluntarily assume these ordinary risks associated with our child’s participation.Release of LiabilityTo the fullest extent permitted by Oklahoma law, we release and hold harmless: Kilgore Academy, Inc. Calvary Christian Center (the “Church”) Their respective directors, officers, pastors, elders, employees, agents, and volunteers from claims arising from ordinary risks associated with participation in school activities. This release shall not apply to claims arising from gross negligence, reckless misconduct, or intentional misconduct to the extent such claims cannot legally be waived under applicable law.IndemnificationTo the extent permitted by law, we agree to indemnify and hold harmless Kilgore Academy, Inc. and the Church from claims, damages, liabilities, costs, or expenses arising from the actions or misconduct of our child or our family while participating in school activities or while present on school or church property, except to the extent caused by the gross negligence or willful misconduct of the released parties.Facility ExpectationsWe agree to: Respect all Church property. Follow all posted safety procedures. Supervise any non-enrolled children accompanying us. Promptly report any property damage or safety concerns. Cooperate with school personnel during emergencies. Medical EmergenciesIn the event of a medical emergency, we authorize Kilgore Academy personnel to obtain emergency medical treatment for our child if we cannot be reached immediately. We understand that reasonable efforts will be made to contact us as quickly as possible.
